Purpose:
The purpose of this blog is to explain the new functionality available in S4 HANA ePP/DS to manage notes (free text) on planned order & manufacturing orders (process & production orders)
Overview:
In a manufacturing organization, there are two critical roles i.e., schedulers or planners & manufacturing operations or execution. Schedulers/planners are responsible for production planning & creating a feasible production plan which the manufacturing operations team are responsible to execute to manufacture the goods. This entails that there should be coordination & frequent up to date communications between these two functions/roles. This communication is usually through emails or informal means. The requirement for stronger inter function communication is always identified but there was no standard integrated way to manage this ask. With S4 HANA 2023, SAP has introduced new functionality of “Notes management” to aid this. Planners can use notes to enter order-relevant planning and execution notes in orders in the Production Planning and Detailed Scheduling system.
This feature enables you to record planning-relevant-text notes in an order/operation in a plant. You can assign these notes to a specific planning object in Production Planning and Detailed Scheduling (PP/DS): Planned order header/operation and Manufacturing order header/operation. You can create multiple notes per object. Notes include basic text formatting and can be synchronized between S/4HANA PP and PP/DS.
Text notes are saved during planned order conversion into production/process order. Order headers/order operation text notes are Planning version-dependent
The free-text notes in Advanced Planning Notes Assignment can be created for the following supported objects:
- Manufacturing Order Header (common object for Production/Process order header)
- Manufacturing Order Operation (common object for Production/Process order operation)
- Planned Order Header
- Planned Order Operation
Advanced Planning Notes Assignment supports integration of text notes created out of PP/DS transactions with respective PP long texts bidirectionally. Only one Note Type per every object can be relevant for integration with PP Long Text at the same time
Configurations & Per-requisites:
Step 1: Maintain Node types: (This is usually a preconfigured node)
Define Note Types that can be used to create text notes in Advanced Planning Notes Assignment.
Step 2: Assign Note Types to Order Headers and Order Operations (This is usually a preconfigured node)
Define which Note Types can be used for text note creation for Order Headers and Order Operations in Advanced Planning Notes Assignment.
Step 3: Maintain Note Types for Synchronization
Define the Note Types that can be used to create text notes in Advanced Planning Notes Assignment and synchronized with PP long texts.
Step 4: Activate Long Text Synchronization with PPDS
Specify the new SAP Script style NM_DEFLT that supports basic formatting options in Advanced Planning Notes Assignment.
Step 5: Maintain Order Type-Dependent Parameters
Specify that the long text for a planned order can be copied during the conversion of a planned order into a production order or a process order.
Step 6: Fiori app “Notes Management” (F7322) is active & required authorisations available. Please refer to KBA 3385935 for known issues & resolutions around this app.
Step 7: Material master is marked for advanced planning & other production related master data like BOM, routing, PV & PDS is created.
Working & Example: We will be creating a planned order from /SAPAPO/RRP3 transaction & adding notes to this planned order. We will convert the planned order & see the notes getting transferred to process order
Step 1: Create a planned order for an in-house manufactured material.
Step 2: Add notes for the planned order by clicking on “Notes” Icon. (You can add the column for “Notes” as well, so that it can be easily identified for which orders notes are created.)
Click on create, choose the note type, Enter text & save.
Column “Notes” should have a value which signifies that there has been a note added for the planned order
Step 3: Notes are copied to planned order on S4 side
Step 4: Convert planned order
Step 5: Check notes in product view & on S4 side.
Conclusion:
This functionality gives a standard feature in PP/DS to planners to add planning/scheduling notes systematically so that it can be easily communicated to the manufacturing team.
Order header and order operations notes maintenance are available in the following existing PP/DS transactions:
- Product View (/SAPAPO/RRP3)
- Order View (/SAPAPO/RRP2)
- Receipts View (/SAPAPO/RRP4)
- Detailed Scheduled Planning Board (/SAPAPO/CDPS0)
- Product Planning Table (/SAPAPO/PPT1)
- Resource Planning Table (/SAPAPO/RPT)
- Order and Resource Reporting (/SAPAPO/CDPS_REPT)
