SAP Business ByDesign is a great cloud-ERP solution, which supports a huge set of business processes in multiple business areas like finance, CRM, SCM, PM and many more. Due to such many possibilities the solution offers, the complexity of created data during the productive usage is huge. As the product doesn’t support an integrated archiving mechanism and as the possibilities of extracting data do not support all areas of created data, the demand of being able to access the data via the solution itself even after productive usage exists.
We’ve listened to our partners and customers and built a commercial offering which allows to down-sell the existing Business ByDesign license landscape of customers to a limited access to their existing system, allowing them to still read their data or create reports for any legal or other demands.
In most cases the new archive offerings should decrease the costs for the customers compared to their actual Business ByDesign license landscape, as the customers will mostly pay only for the existing DB-size of their system. There might be cases where the customer did benefit from not being charged for created data in the past and where this offering could lead to disadvantages, but for most customers the offering should extend their financial flexibility when moving away from Business ByDesign to another ERP solution, but still requiring access to their data via Business ByDesign.
The Archive offerings are available for any productive tenant up to the dedicated Private Edition system. In order to understand the concrete costs of such offerings, the actual consumed DB-size will be evaluated and the required number of blocks of GB or the appropriate system size (Private Edition) be defined.
Here is an overview of the new archive offerings:
In principle each productive tenant of a customer can be transitioned in an archive tenant. In case of the Private Edition in the case the customer has only one productive tenant, he receives the option to either transition the tenant in a ‘Public Edition, archive tenant’ or transition all existing productive tenants to a ‘Private Edition, archive option’.
The new archive offerings include up to 5 Enterprise-User licenses and 3 localizations out of the standard SAP Business ByDesign localizations. It is important to understand, that the archive offerings can only be used with the included user-licenses. The only meaningful and available option for additional licenses are additional localizations, which might be required by some customers.
The customers must accept the new supplemental terms as part of their contract coming with the archive offerings. These terms only allow read-access (direct and indirect) to the archive tenants up from contract start date. Contracts can be extended to a maximum of 10 years over time via renewals.
